Kitchen Display System (KDS): The Practical Guide
What a restaurant kitchen display system actually does under pressure — lanes, timers, batching, waiter routing and how to choose one.
What is a kitchen display system?
A kitchen display system (KDS) is a live screen at each cooking station that shows the tickets currently in flight — which orders are waiting to be started, which are being prepared, and which are ready to leave the pass. It replaces paper KOTs, whiteboards and the yelling that connects them.
The good ones do three things paper cannot: they time every ticket, they intelligently group the same dish across tables, and they push a ready signal to the correct waiter the moment a plate leaves the line.
The anatomy of a good KDS
A well-designed KDS layout typically has three lanes:
- Incoming — tickets that just arrived, waiting to be accepted by a chef.
- Preparing — tickets accepted, timer running, cook in progress.
- Ready — plated, waiting for the waiter to pick up.
Every ticket carries: the table number, item list, quantities, time since it entered its current lane, and (when it goes ready) the waiter assigned to that table.
What matters is that any chef can look at the screen for two seconds and know exactly what to fire next.
Same-dish batching, explained
Batching is the single most misunderstood KDS feature.
When two different tables order the same dish within a small time window, a naive KDS shows them as two separate tickets. A smart KDS batches them into one cook — while still tracking that Table 5 gets one and Table 12 gets one — so the chef fires the biryani once for both.
Batching only helps if the batching preserves table identity. If the KDS batches by merging tables, you\u2019ll deliver two plates to the wrong tables during peak hours. The rule is: batch the cook, never the delivery.
Waiter routing on ready
When a dish is marked ready, only the waiter responsible for that table should be notified. “Ready” shouldn\u2019t be a broadcast that pings every waiter\u2019s phone at once — that\u2019s how plates cool at the pass while three waiters check whose it is.
A good KDS ties into table management: every table has an assigned waiter, and ready notifications route only to them. The rest of the floor stays focused on their own tables.
Hardware and screen setup
A modern KDS runs in the browser. That means:
- A tablet at each hot station — the cheapest, most flexible setup.
- A wall-mounted TV plus a mini PC / stick for the pass — great for big-format kitchens.
- A phone at a smaller station for quick reference — fine as a backup.
The screen must be readable from where the chef stands, not from where the manager stands. Test viewing angles before you drill the mount.
What to look for when choosing a KDS
- Is the workflow lane-based (Incoming / Preparing / Ready) or a flat list? Lane-based wins in service.
- Does it batch same-dish cooks without merging tables?
- Does the ready signal route to the specific waiter for that table?
- Does it show ticket age so nothing lingers past your target?
- Can multiple stations run separate boards (tandoor vs cold section)?
- Is the KDS part of the same platform as your POS and waiter dashboard, or a bolt-on?

Frequently asked questions
Can a KDS replace paper KOTs entirely?
Yes. In practice, most Dines kitchens run KDS-only after the first week. A small emergency printer is a reasonable belt-and-braces backup for a while.
What if the internet drops during service?
The KDS reconnects automatically when the network is back. Tickets are queued and delivered without loss. If your internet is flaky, add a 4G backup router — the fix is at the network layer.
How many screens does a small restaurant need?
One tablet at the pass covers most 20-table restaurants. Add a second at the cold section or tandoor when your throughput justifies it.
