About this policy
This policy explains how Dines Restaurant Software (“Dines”), operated by Velora Systems (“we”, “us”), collects, uses, shares, keeps and deletes information. It covers the website at getdines.com, the Dines software that restaurants use (point of sale, ordering, billing, QR ordering pages, digital menus and digital receipts), and WhatsApp e-bills sent through Dines.
Dines is software used by restaurants. Each restaurant runs its own business and decides how it uses Dines, so please also read the restaurant’s own notices.
Dines and the restaurants we serve
Guests of a restaurant. When you order from, reserve at or are billed by a restaurant that uses Dines, the restaurant decides what it asks you for (for example, your name and mobile number) and how it uses that information for its business. We process that information on the restaurant’s behalf to provide the Dines service to it.
Restaurants, their staff and our website visitors. We decide how we use information about restaurant accounts (owners, managers and staff), visitors to getdines.com, and people who contact us or request a demo.
Information we collect
From restaurants
- Business details: restaurant name, address, phone number, GST number, logo, menu, prices and tax settings.
- Staff accounts: name, email address, role and sign-in details. Passwords are stored only in hashed form.
- Operational records: orders, tables, kitchen tickets, bills, discounts and payments recorded (the method and amount — Dines does not store card numbers), expenses, inventory and reservations.
- Printer devices: the information needed to pair and run the Dines Print Agent.
From guests of restaurants
- Your name and mobile number, when the restaurant asks for them — for example before QR ordering, when staff take your order, for a reservation, or for a delivery order (which also includes the delivery address).
- Your mobile number, if you choose to give it for an offer or loyalty programme a restaurant runs.
- Your order: items, quantities, special requests, and your table or counter token.
- Your bill: amounts, taxes, discounts, payment status and payment method.
- Your WhatsApp e-bill choice: the number, the time, and whether you ticked the box yourself or staff recorded your agreement.
- If you allow browser notifications for order updates: a browser push subscription.
- If a restaurant’s own website connects to Dines and you create an account there: your name, mobile number, saved addresses, and your orders and reservations with that restaurant.
From visitors to getdines.com
- If you contact us or request a demo: your name, restaurant name, phone number and email address.
- Technical information that our hosting provider and servers record to run and protect the service, such as IP address, browser type, the page requested and the time.
Names and phone numbers
Names and phone numbers are used to identify your order or reservation, to let the restaurant reach you about it, to apply an offer you asked for, and to send the messages you requested — such as a WhatsApp e-bill, a one-time verification code, or a reservation or order update.
We do not sell names or phone numbers, and Dines does not use them for its own advertising. In our application logs, phone numbers are masked.
Orders, bills and digital receipts
Orders and bills are recorded for the restaurant so it can prepare your food, print kitchen tickets, produce your bill and keep its accounts.
A digital receipt is a private web page at getdines.com/receipt/… that shows a paid bill: the restaurant’s details, the bill number, items, quantities and prices, subtotal, taxes, discounts, total, payment status and method, and the time of payment in Indian Standard Time. It does not show your name or phone number.
Each receipt link contains a long random code, and only a scrambled (hashed) form of that code is stored. Anyone who has the link can open the receipt, so please share it only with people you trust. A receipt link stops working after 180 days, or earlier if the restaurant voids the sale.
WhatsApp e-bills
Some restaurants offer to send your bill on WhatsApp. Dines sends it only if you tick the box to receive it (the box is never ticked for you), or if restaurant staff record that you agreed. The choice applies to that order; if you do not tick the box, no WhatsApp e-bill is sent.
The e-bill is a transactional message: one message per paid bill, containing the restaurant’s name, the order number, the amount and a link to your digital receipt. Dines does not send marketing or promotional messages through this feature.
Messages are sent from Dines’ WhatsApp Business number, on behalf of the restaurant, using Meta’s WhatsApp Business Platform (Cloud API). To deliver them, your phone number and the message content are processed by Meta, which also tells us whether the message was sent, delivered, read or failed; the restaurant can see that status. Meta processes this information under its own terms and policies, including the WhatsApp Privacy Policy.
Replies sent to the Dines WhatsApp number are not read or answered. For anything about your order, please contact the restaurant. To ask that a number not receive e-bills, contact the restaurant or us at getdinesofficial@gmail.com.
SMS and email
- SMS. Where a restaurant’s website uses it, Dines sends one-time verification codes and reservation or order updates by SMS through our messaging provider, Zavu.
- Email. Dines sends account emails to restaurant users (such as password resets and email-address changes), and notifies our team when someone requests a demo, through our email provider, Resend.
Optional voice ordering
Voice ordering is an optional feature that a restaurant may enable. It is not active unless the restaurant turns it on. When it is used, a staff member starts listening on their device and the guest speaks their order. The audio is streamed from that device to OpenAI to be transcribed, and Dines then sends the transcript together with the restaurant’s menu to OpenAI to suggest matching menu items, which staff review before anything is ordered.
Dines does not save the audio or the transcript in its database. OpenAI processes this information under its own terms and policies.
Why we use information
- To provide Dines to restaurants: ordering, kitchen tickets, billing, payments recorded, receipts, reservations, menus and reports.
- To send the messages you or the restaurant requested: WhatsApp e-bills, verification codes, order and reservation updates, and account emails.
- To run, secure and fix the service, prevent misuse and keep records.
- To respond to enquiries, demo requests and support requests.
- To meet legal obligations.
Where data protection law applies, including India’s Digital Personal Data Protection Act, 2023, we process personal information on the basis of your consent (for example, for WhatsApp e-bills, optional offers and browser notifications) or another basis that the law allows, such as where you provide information so that a restaurant can serve your order. Information about a restaurant’s guests is processed on that restaurant’s behalf.
Where information is processed
The Dines database is hosted with MongoDB Atlas on Amazon Web Services in the Asia Pacific (Mumbai) region in India. The Dines application runs on Railway in its Southeast Asia (Singapore) region, so information passes through servers there when you use Dines.
Some of the service providers listed above, including Meta, may process information in other countries under their own terms.
How long information is kept
- Digital receipt links and WhatsApp e-bill records expire automatically after 180 days.
- One-time verification codes, sign-in sessions and password-reset links expire automatically shortly after they stop being valid.
- Browser notification subscriptions expire automatically after 24 hours.
- Orders, bills, customer profiles and reservations do not expire automatically. They are kept until they are deleted — by the restaurant where Dines gives it that option, or on request as described below.
Data deletion requests
You can ask for information about you to be deleted by contacting the restaurant you dealt with, or by emailing the Dines Privacy Team at getdinesofficial@gmail.com. Please tell us the restaurant’s name and the phone number or email address you used, so that we can find the right records. We may ask for information to confirm that the request is yours.
Because restaurants decide how they use their guests’ information, we coordinate guest requests with the restaurant concerned. Some records — for example, bills that a restaurant must keep for its accounts or tax purposes — may need to be kept; if we cannot delete something, we will tell you why.
Restaurant owners can ask us to delete their restaurant’s data. Closing or deactivating a restaurant account does not by itself erase all of its data, so please contact us if you want it deleted. Where a restaurant uses Dines customer profiles, its owner can also remove a guest profile from the Customers section; this does not remove that guest’s past orders or bills.
We aim to acknowledge requests within 7 days and to respond within 30 days, subject to applicable legal requirements.
Security
We use measures designed to protect information, including:
- encrypted connections (HTTPS) to getdines.com;
- separation of each restaurant’s data, and access based on each user’s role;
- passwords and digital-receipt codes stored only in hashed form;
- signature checks on messages received from WhatsApp;
- masking of phone numbers in our application logs.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your choices and rights
Subject to applicable law, including India’s Digital Personal Data Protection Act, 2023, you may ask to access, correct or delete your personal information, withdraw consent you have given (for example, for WhatsApp e-bills), and raise a grievance about how your information is handled.
To make a request, contact the restaurant or the Dines Privacy Team at getdinesofficial@gmail.com. We aim to acknowledge requests within 7 days and to respond within 30 days, subject to applicable legal requirements. Withdrawing consent does not affect messages already sent.
Children
Dines is not specifically directed at children. Restaurants may serve guests of any age; if you believe a child has provided personal information through Dines and want it removed, please contact the restaurant or the Dines Privacy Team at getdinesofficial@gmail.com.
Changes to this policy
We will update this policy when the way Dines handles information changes. The effective date at the top of this page shows when it was last updated.
